How to Still Have Fun Planning Your (or Your Client’s) Next Event Without Breaking the Bank
The fact that we are in a financial crisis is starting to sound like broken history. The sadness and doom that surrounds us all can take the joy out of even the most festive of events. This limited economy is reminiscent of the 9/11 era when people decided to entertain at home more, keep the guest list to those who really want to entertain, cut extras and spend wisely without going overboard.
According to a recent survey by the National Association of Catering Executives, 48% of caterers and event planners reported seeing a decrease in event spending and 62% reported that customers are buying cheaper food and avoiding luxury items. So can you still throw in a real vacation on a budget even if you’re in a pinch? Absolutely, this is how it is!
TIP – how to have fun planning your (or your client’s) event without breaking the bank:
1. Think of multiple goals. Make every part of your event work twice as hard to earn more money. Example: Card holders should be fun and interesting to show off the table and let guests know where to sit.
2. Make a mid-range snack. Individual candies on a pedestal in the center of each table double as decorations and desserts. Example: Imagine candy apples dipped in caramel or chocolate then wrapped in cello with a pretty ribbon and nestled in the center of an evergreen. Not only does it look fun and different, guests can eat their candy apples to wash down the dessert or take them home as favors at the end of the party.
3. Create a motivational group or binder for your party to collect and organize ideas and build tons of fun. Remove images from magazines, advertisements, ribbon pulls and fabric clocks and use paint chips to organize your color scheme. Take a few days to look at your viewing plan and adjust it. Find out if you need to buy or rent anything you’ve written to promote. Think of it as one of those designs that shows how to create “your little look.” Look at the big picture and see where you can borrow from your stash or your neighbors or friends to make something really cool. Example: When you are packing for a trip and your suitcase is full, you need to organize what you don’t need. In a tough economy you have to choose wisely.
4. Invest in colorful vases to use as flowers, as buffet centerpieces, to hold decorations and other party essentials. Glass vases are economical because they can be used over and over again for many occasions and can provide a wide variety of styles. Example: Fill them with white battery-operated lights, pine cones painted silver or gold, ornaments, etc.
5. Stop and think. How can you have great decorations for little or no money? Example: Christmas trees are a good option because lots of people cut down trees to attach their water containers and remove tons of green branches. These branches (from different trees) can serve as the basis of your buffet, decorate your plates and decorate the center of your tables. Also talk to friends and co-workers to see what they can lend you for your event. Someone may be hosting a bash the Saturday before yours and have no problem borrowing some of the big stuff.
6. Consider non-perishable and quality options. Flowers may not last more than a few days. Example: Consider small evergreen trees, bowls of apple trees, decorations or beautiful butterscotch. By limiting your color choices, you’ll create a bold statement with more power.
7. Create vignettes. Remember that not all of your basics should be the same. If you are using what you already have, try and plan decorations that are compatible but not exactly the same. Example: You only have ten glasses but twenty tables? No problem, use the ten you have and then use the other ten in different lengths or in materials that will fit your overall plan. Don’t be afraid to mix up the size of the table. As long as you speak confidently and “intentionally”, your guests won’t know the difference. If you don’t do it in the usual way, sit down for dinner, think about arranging the existing chairs and furniture in vignettes and using small tables and chairs in different areas to create a club-like feeling without having everything be the same.
Just remember, it’s easier to be smart when you have a lot of money to throw around. The real test of wisdom comes when you have to use your brain instead of your wallet. So think of double goals, talk to your friends, pool your resources, ask for help and your event will be fun and exciting!
